There are three main types of user account that an HEI will use for OnlinePARE and they are all different depending on the role of the person who is assigned to that user type. These users are known as:
In addition, the HEI Senior Administrator account type may have an additional level of access switched on, to enable access to the placement coordinator features of PARE:
This article provides a detailed breakdown on the permission levels assigned to each user type and who would be expected to be assigned these roles.
HEI Senior Administrator
An HEI Senior Administrator account is the top level account within an HEI. An HEI Senior Administrator is responsible for the management of all users within the university. An HEI Senior Administrator can access a broad range of reporting functions and depending on the staff role may be responsible for uploading learner and placement allocation data.
HEI Senior Administrators can be classed as different members of staff within an HEI, but this role is primarily assigned to placement staff within an HEI, so that they have higher levels of administrative permissions in order to support their organisation. Senior lecturers and programme leads may also be given this permission type.
An HEI Senior Administrator may have their profile locked to a certain discipline, limiting them to data relating to learners of that discipline. However, this can be changed within profile settings, to enable access to learner data across a range of disciplines. An HEI Senior Administrator has the following access rights (restricted according to the learner disciplines settings on the HEI Senior Administrator account profile, in each case):
- Evaluation Ratings & Statistics: Access to learner evaluation ratings across all placement areas within HEI.
- Evaluation Comments & Action Plans: Access to learner evaluation comments and actions plans for all placements areas within HEI. Can see all HEI created action plans. Can only view Placement Senior Administrator (PEF) action plans if permission explicitly granted by Placement Senior Administrator).
- PAR Documents: Access to learner documents across all placement areas within HEI.
- Timesheets: Access to all learner timesheets.
- Manage Users: Can add Academic Links and assign them to placement areas, and add other HEI Senior Administrators.
- Educator Register: Access to view the register details for all educators across all placement provider organisations on PARE.
- Placement Profiles: Access to edit placement profiles across all placements within the HEI.
- Audits & Capacity (region dependent): Access to create/update placement audits and capacity data.
- Data Sharing Agreements: Can create online PARE Data Sharing Agreement between the HEI and placement providers.
- Importing Learners and Placement Allocation Data (CSV): Has access if this has been granted by the PARE Team (see below.)HEI & Trust St
- Reports: Access to all available HEI Reports
HEI Senior Administrator with Placement Coordinator Access
Some HEI Senior Admins have extra functionality to allow learner data and placement allocation records to be imported, and amended. This is generally only granted to placement office staff. This extra functionality is known as Placement Coordinator access and is currently only granted by the PARE Team. If you feel as though you require this access, please raise a ticket to our team for review. This may require confirmation from your line manager, or from a member of staff within your organisation who already has this functionality.
Academic Link
Academic Links are assigned to designated placement areas. Academic Links can monitor online documentation, timesheets and evaluations of learners from their university attending their assigned placement areas.
An Academic Link's main role is oversight to ensure learners are completing their assessment documents and timesheets. If a problem does arise in a placement area, they have the tools to put an action plan in place. As such, this role is primarily given to academic assessors/personal tutors within the HEI.
An Academic Link has the following access rights (restricted according to the learner disciplines settings on the Academic Link account profile, in each case):
- Evaluation Ratings & Statistics: Access to learner evaluation ratings for assigned placement areas only.
- Evaluation Comments & Action Plans: Access to learner evaluation comments and actions plans for assigned placement areas only. Can create/view action plans for assigned placement areas.
- PAR Documents: Access to learner documents for assigned placement areas only.
- Timesheets: Access to learner timesheets for assigned placement areas only.
- Manage Users: Access to view learners' documentation.
- Educator Register: Access to view the register details for all educators across all placement provider organisations on PARE.
- Placement Profiles: Access to edit placement profiles for assigned placements areas only.
- Audits & Capacity (region dependent): Access to create/update placement audits and capacity data for assigned placement areas only.
- Data Sharing Agreements: No Access.
- Importing Learners and Placement Allocation Data (CSV): No Access.
- Reports: No Access.
Learner (Student)
The Learner is the primary focus of both the HEI and the placement staff that they will be working with. Naturally, their user type is restricted to only what they will be required to access on PARE, namely their assessment documentation, placement timesheet, and/or placement evaluations, depending on the leaners' programme setup on PARE. They may also be able to view the placement details if the HEI or placement staff have provided information within the placement profile prior to deployment.
A Learner has the following access rights:
- Evaluation Ratings & Statistics:
No Access. - Evaluation Comments & Action Plans:
A learner can only see the outcome of an action plan if their comment was included and the action plan has had a learner summary added to it. - PAR Documents:
Only their own. - Timesheets:
Only their own.
